The registration department is place the particularly assigned the record administration. One differentiates:

  • Central depository with competence for a whole authority etc. (Registraturbildner)
  • Department registration department with according to reduced competence.

In place of a registration department frequently a specialist file or an electronic record administration is used.

The designation originates from the time before the office reform, when the importance of the registration department was substantially greater in the course of business, and alludes to the registration of individual documents in the diary.

Functions

Apart from the keeping of the record containers the registration department and its alternatives equally among other things the following tasks are zueigen:

  • appropriate document formation in arrangement with the specialist,

  • Guidance of the document listing
  • File of documents in the appropriate document, bedarfsweise withdrawal for treatment
  • if necessary guidance of the table of contents of the document
  • in individual cases registration of documents
  • Guidance of date and re-submission lists and punctual supply of the documents
  • Monitoring of the keeping periods, etc.
  • Treatment of the delivery of documents at old registration department and archives

Old registration department one calls a part of the record, whose treatment is final and whose period for safekeeping began with the conclusion of the treatment.

Documents of authorities must be usually offered at expiration of the keeping period to responsible archives (archives obligation). This delivery takes place partially already in former times to intermediate archives (the USA: record center), which for the federation in sank Augustin with Bonn and in Dahlwitz Hoppegarten with Berlin one furnished and which takes over the function of an old registration department.
